Before you start
If you haven't already connected to the new Aero-Zapier integration, you can do that here. You should have a sample Accepted Proposal in your Practice Ignition account with a service that has a matching template in Aero. You will also need to know the ID number of the Aero Template
To get started, click the black Make a Zap! button from your Zapier Dashboard.
Set up your trigger
- Choose App & Event. Type in the search bar to find Practice Ignition. Click on Practice Ignition when it comes up. For the trigger, choose Service Accepted by Client.
- Choose Account. f you have not already done so, connect to your Practice Ignition Account. Click the Connect an Account button, then enter your Practice Ignition username and password in the popup window. Click the Sign In button.
- Find Data. Click the Test & Review button. When you see the data from the proposal in PI is returned, click Continue.
Optional Filter
You can set up a filter that looks for a specific service to match it to the correct Aero Template. In our example, we set up a filter to only continue if the Service Name contains "1040".
Search for the customer
- Choose App & Event. Choose Aero Workflow (1.0.0) for the App and Find Company for the Action Event.
- Choose Account. Select your Aero account from the dropdown. If you haven't connected Aero to Zapier before, here's how you do that.
- Customize Company. you can search through all your Aero Companies or only the active ones. in the Company Name field, enter the "Client Name" from the Practice Ignition proposal.
- Send Data. Click the Test and Review button to search for the sample client in Aero.
Create a Task for the Template
- Choose App & Event. Choose Aero Workflow (1.0.0) for the App and Create Task from Template for the Action Event.
- Choose Account. Select your Aero account from the dropdown.
- Customize Aero. This is where you are going to match up information from Practice Ignition to Information in Aero.
- Type in the Template ID that you're using to create the Aero
- Start Date is required in Aero. If you want to enter the date the zap runs as the start date of the Aero, you can type {{zap_meta_human_now}} in the Start Date field. You can add time to it by using a plus sign, number, & 'h' for hours or 'd' for days. So if you want the start date to be the day after the zap runs, you would type +1d after the {{zap_meta_human_now}}. More date and time modifications.
- Choose a team member from the dropdown for "Assigned To"
- For Company, Click the Custom tab, then click on Find Company in Aero Workflow to expand it. Click the blue Show All Options link and then scroll down until you find the ID number from the Company search step.
- You can create a Due Date the same way you entered a Start Date. Or, if you have the Days to Due Date field filled out in the Aero Template, a due date will automatically be created.
- The Scheduled duration can be entered in Zapier or pulled from what is entered in the Aero Template.
- Aero Group and Contact are optional fields. Keep in mind that anything entered here will be applied to ALL Aeros created by this Zap.
